How Small Project Changes Become Big Problems

Meta description: Learn how small project changes can ripple into schedule, budget, resource, risk, and stakeholder impacts—and why structured change control matters.

Most project changes do not start as major events.

They start with a sentence like, “Can we make one small adjustment?”

The change itself may be reasonable. The risk comes from everything the change touches after it is approved.

1. A scope change can move the schedule

Additional work can create new tasks, extend durations, introduce dependencies, or change milestone dates. Even a small request can affect the critical path when timing is tight.

2. Schedule changes can create resource conflicts

When work moves, the people assigned to it may no longer be available. A delay in one project can create a capacity issue in another.

3. Resource changes can affect cost

Additional labor, vendor support, overtime, or material requirements can change the project forecast. Good change control connects the request to its financial impact before approval.

4. Changes can create new risks

A revised design, timeline, vendor, or implementation approach can introduce risks that did not exist in the original plan. Those risks should be reviewed—not discovered later.

5. Stakeholders need to understand the tradeoff

Change control is not about saying no. It is about making the impact visible so the sponsor or decision-maker understands what they are approving.

Document the decision, not just the request

A practical change process should capture what changed, why it changed, who requested it, expected impacts, approval status, and the final decision.

The Ash Allen Digital Change Request Log provides a structured Excel system for tracking project changes and scope decisions. For broader governance, the Project Governance Toolkit combines RAID, issue, decision, change, lessons learned, and stakeholder tracking.
